Whidbey Island Landscaping ("WIL," "we," "us," or "our"), based in Oak Harbor, WA, respects your privacy. This policy explains what we collect, how we use it, and your choices. We do not sell, rent, or trade your personal information.

Information we collect

When you contact us through our website form, by phone, or by email, we may collect your name, phone number, email address, property location, and details about the project you are inquiring about. We do not collect payment information through these forms.

Our hosting and service providers process technical information, such as IP addresses and browser details, to deliver and protect the website.

Optional website analytics

With your permission, we use Google Analytics to understand visits, pages viewed, quote-form starts, confirmed quote requests, and clicks on our phone, text, email and social-profile links. Analytics uses cookies and technical information about your browser and device. We do not send the name, contact details, property address, or reference number from your quote request to Google Analytics. Advertising personalization and Google signals are disabled.

If you allow analytics and arrive through one of our tagged links, we also remember its public campaign, source, post identifier, and landing page in your browser for up to 30 days. We include the first and most recent tagged link with a quote you submit so we can understand which content leads to inquiries. We do not keep unrelated link parameters or advertising click identifiers. Declining analytics clears this browser attribution and still lets you request a quote.

Google Analytics loads only after you accept analytics. You can decline and still use the entire website and request a quote. We remember your choice in your browser. You can change it using Analytics choices below or in the footer. Declining after accepting stops our analytics tracking and removes our accessible Google Analytics cookies; it does not delete information already received by Google.

Analytics represents visitors who accept it and may miss activity blocked by browsers or extensions. Our customer records remain the record of received quote requests.

How we use your information

We use your information to respond to your inquiry, schedule and provide landscaping services, prepare estimates and proposals, and follow up about your project. With your analytics permission, we also use the tagged-link information described above to evaluate our website and social content. We do not use your inquiry details for unsolicited marketing or automated profiling.

How your form submission is handled

HOA and commercial maintenance inquiries are saved in our customer records through Make and Airtable, and an email notification is sent to our team. A reference number helps prevent duplicate records when you retry. We confirm submission after the customer record is saved. The maintenance form does not subscribe you to newsletters or text messages.

When you submit our construction quote form, your details are sent securely from your browser to our website and then to our customer records system with a unique reference number. That reference helps us recognize retried submissions and reduce duplicate records. After the system confirms receipt, it attempts to notify our team; a delayed internal notification does not create another request. We do not expose the technical addresses or credentials of these systems to the public.

Text messaging (SMS)

If we offer text messaging and you provide your phone number and opt in, we may send you texts about your inquiry, appointment, or project — for example, a confirmation or a missed-call follow-up. If this service is active, message and data rates may apply and message frequency varies; you can reply STOP to opt out at any time, or HELP for help. Consent to receive texts is never a condition of any purchase.

SMS/Text Messaging

SMS consent and phone numbers collected for SMS purposes are used only to send the messages described at opt-in. We do not share or sell SMS consent data or phone numbers to third parties or affiliates for their marketing purposes.

Advertising and lead forms

If we run ads on Facebook or Instagram and you reach us through one of their lead forms, Meta processes that information under its own terms, and we receive the details you submit so we can follow up. We do not use your contact details to build advertising audiences.

Information sharing

We share information only with service providers that help us operate — such as our scheduling, customer-records, and communications tools — and only as needed to serve you, or where required by law. We do not sell or rent your information to third parties. In the event of a sale or transfer of our business, customer information may transfer as part of that transaction; we would notify affected customers first.

Data retention

We keep inquiry and project information as long as needed to serve you and for normal business and legal recordkeeping, then delete or anonymize it. You may request deletion at any time, subject to our legal recordkeeping obligations.

Your choices

You may ask us to access, correct, or delete your information, or to stop contacting you, at any time. Use the contact details below and we will respond within 30 days.

Children's privacy

Our website and services are not directed at children under 13, and we do not knowingly collect their information. If you believe we have, contact us and we will delete it.

Security

We use reasonable administrative, technical, and physical safeguards, and our website uses HTTPS encryption for data submitted through forms. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Changes to this policy

We may update this policy from time to time. When we make material changes, we will update the effective date above.
